X-2.00(A) UNIVERSITY OF MARYLAND POLICY CONCERNING ON-CAMPUS MAIL
 
                 APPROVED BY THE PRESIDENT 1 AUGUST 1991;
                 AMENDED JANUARY 15, 1999
 
  I.   Policy
 
       Campus mail service is provided by the State through funds
       appropriated to the University and, as such, serves the
       University community for official use only.  The use of the
       campus mail service for personal purposes is expressly
       forbidden.
 
  II.  Procedures
 
       1.   Brown or "kraft" type envelopes should be used for on-campus mail.
 
       2.   The name of the originating department should be either
            stamped, typed, or printed at the upper left-hand
            corner of the envelope.
 
       3.   The address for all on-campus mailings (except
            students) should consist of the following:
 
                      Name
                      Department, Zip-xxxx
                      Campus
 
       4.   Four-digit add-on codes (Zip+4) are assigned by the
            Department of Communication and Business Services based
            on mail delivery sites for each department and office
            on  Campus.  The four-digit add-on code should be used
            when addressing on-campus mail, as well as the nine-digit zip
            on letterhead, stationery, and as a return
            address.  The four-digit code is included in the
            Faculty/Staff Directory with each address that contains
            a building name.
 
       5.   A separate mail box or receptacle must be used for on-
            campus mail. Mail should be fastened by rubber band.
 
       6.   Large mailings to departments on campus should be
            bundled separately by department.  Large mailings to
            students residing on campus should be bundled
            separately by dormitory before pick-up by the Campus
            Mail Service. This is particularly important when time
            is a crucial factor in the distribution of the material
            being mailed.
 
       7.   The Campus Mail Service should be contacted for large
            mailings or special pick-ups.
